User Management
User management in Gratona provides comprehensive control over who can access your organization's platform and what they can do. This robust system allows you to maintain security while providing appropriate access levels to team members, volunteers, and administrators.
To manage team access, open the quick actions menu (Cmd+K) and search for Team & access. If your menu uses Admins & Permissions, open that entry. You can also go directly to /admin-options.
The page shows team members and access roles. Your own permissions determine which members and roles you can manage.
Invite a team member
On the Team members tab, select Invite team member. Enter their first name, last name, email, and Access role, then send the invitation. Gratona emails a one-time invitation; the teammate does not need to create a password.
Choose an existing access role that grants the appropriate permissions. If you need a new role, create it first from the access-role area, if your permissions allow it.
Edit a team member
Select the pencil icon next to the member, update their information, and select Save.
Disable or re-enable access
Use the cross-circle action to disable an active member. Disabling access revokes their credentials.
Use the check-circle action to re-enable a disabled member. This prepares reactivation; the member must sign in with their email to restore access. For a pending invitation or prepared reactivation, use Resend invitation when needed.
The actions shown depend on the member's status and your permissions.
Delete a team member
Select the delete icon and review the confirmation before selecting Confirm. You cannot delete your own membership or the account owner from this table. Use Disable when you need to stop access while keeping the membership record.
