Adding Donors (Customers)
A Customer in QuickBooks Online corresponds to a donor record in Gratona.
New records sync according to the program's Sync Type: Gratona to QuickBooks, QuickBooks to Gratona, or Two way.
A one-way Sync Type allows records to sync only in the selected direction. Two way allows both directions. Creating a record can create its counterpart or link or update an existing match; it does not always create a second record.
For incoming QuickBooks Customers, a new Customer needs an email address and a resolvable donor form before Gratona can create a donor. The Customer tab setting Create separate donor records for matching emails controls whether matching-email Gratona donors are reused or kept separate for incoming Customer creation.
Match Customers before sending donations
Every exported donation needs a QuickBooks Customer. Gratona uses the donor’s existing Customer link first. Without a saved link, donation export needs an email that identifies exactly one QuickBooks Customer. Multiple matching Customers require review; Gratona does not choose the first match.
Outbound Customer sync can attach a unique email match or create a new QuickBooks Customer when no match exists. If you want to use existing Customers only, review linking before running Customer or historical sync. CSV-imported donors currently skip manual and historical Customer sync; contact support if their existing Customer links need review before backfilling donations.
Choosing an existing Service Item does not remove the Customer requirement or resolve Customer matches. See Use an existing QuickBooks Service Item for a program.
Note: Fields copied during creation follow the mappings configured on the Customer tab. The program must also have an attached donor form.
